Terms and Conditions of Enrollment

Effective Date: February 9, 2026 

Entity: Katy Comp. Sci. Academy

Welcome to Katy Comp. Sci. Academy (“the Academy,” “we,” “our,” “us”). These Terms and Conditions (“Terms”) govern the enrollment, participation, and use of services provided by the Academy. By enrolling a student in our competition training programs, you (“Parent,” “Guardian,” “Client”) agree to the following terms on behalf of yourself and the enrolled minor.

1. Professional Services & Eligibility

The Academy provides specialized competition-level training in Computer Science.

Age Requirement: Students must be at least 10 years of age. Grade Levels: 8th to 12th Grades only.

Parental Consent: For all students under the age of 18, a parent or legal guardian must execute these Terms.

Admissions: The Academy reserves the right to assess student compatibility with the program’s pace and rigor prior to or during enrollment.

2. Tuition, Fees, and Payment Policy

Course Investment: Tuition is set at $30.00 per hour. For the standard 30-hour curriculum, the total course fee is $900.00.

Payment Schedule: Full tuition is due upfront by the designated deadline (Wednesday, Feb 11th or Thursday, Feb. 12th).

Payment Method: Payments are accepted exclusively via Zelle unless a prior written alternative agreement is reached with Administration.

Late Fees: Invoices not settled by the due date will incur a late fee of $5.00 per day until the balance is cleared.

3. Cancellation and Refund Policy

Enrollment secures a student’s place in a finite cohort; therefore, the following refund schedule applies:

Post-Commencement: No refunds are provided once the course has officially begun.

Pre-Commencement (48+ Hours): 50% refund of the total tuition.

Pre-Commencement (24–48 Hours): 25% refund of the total tuition.

Short Notice (<24 Hours): No refund will be issued.

Academy Cancellation: If the Academy cancels a course due to insufficient enrollment (minimum 8–10 students) or other administrative reasons, a full refund of the remaining balance will be issued.

4. Attendance, Late Arrivals, and Make-up Sessions

Due to the accelerated nature of the competition curriculum, consistent attendance is mandatory.

Late Arrivals: No time extensions or fee pro-rating will be provided for late arrivals or early departures. It is the student’s sole responsibility to bridge any resulting knowledge gaps.

Absences: As this is a fast-paced group program, individual make-up classes are not provided.

Exceptions: In the event of documented medical illness (physician’s note required), the Academy may provide course materials for self-study.

Material Fees for Absences: In the event of an absence, the Academy will make a “best-effort” attempt to provide the student with the digital or physical study materials covered during that session. The provision of materials does not include a private make-up lecture. It is the student’s sole responsibility to engage in independent self-study to master the missed concepts. Students must ensure they are “in-sync” with the curriculum before the subsequent session to maintain the pace of the competition group.

5. Competition Group Dynamics

Group formation is a critical component of competition success.

Placement: Teams are formed on a first-come, first-served basis to ensure equal participation opportunities.

Participation: Students are expected to adhere to all group rules, including active participation in team assignments, role selections, and collaborative projects.

Administrative Discretion: The Academy maintains absolute discretion in team formation and may cancel a course if the talent distribution or headcount does not meet the threshold for competitive success.

6. Academic Integrity & Intellectual Property

All curricula, software, graphics, and proprietary study materials provided by the Academy remain the exclusive intellectual property of Katy Comp. Sci. Academy.

Restricted Use: Materials are for the enrolled student’s personal use only. Unauthorized reproduction, distribution, or digital sharing of Academy content is strictly prohibited and may result in legal action.

7. Facilities, Safety, and Liability

“As-Is” Facilities: Programs conducted at Academy premises are provided on an “as-is” and “as-available” basis.

Liability Waiver: The Academy, its officers, and staff shall not be held liable for any personal injury, loss, or property damage incurred during or as a result of tutorial sessions.

Hazard Acknowledgment: While the Academy maintains a safe environment, clients acknowledge and accept inherent risks associated with shared learning spaces, including fire hazards.

Supervision: Parents are responsible for ensuring appropriate supervision and safety for students before and after their scheduled session times.

8. Video Surveillance Notice

For the safety of students and staff, and to maintain academic integrity, the Academy utilizes 24/7 video surveillance in all common areas, classrooms, and entrances.

Consent: By enrolling, you consent to the recording of the student.

Use of Data: Footage may be reviewed for security, disciplinary, or investigative purposes.

9. Privacy and Communication

Communication Channels: Official communication (scheduling, invoices, updates) is conducted via WhatsApp, Email, or Text. It is the Client’s responsibility to monitor these channels.

Data Privacy: At this operational stage, the Academy requests that Clients limit shared information to essential contact details (Name, Address, Email). Please refrain from sharing confidential student records or sensitive personal data on digital communication platforms.

10. Termination of Service

The Academy maintains an At-Will relationship with all clients. We reserve the right to terminate services immediately and without refund for:

Disruptive behavior, harassment, or violations of the Code of Conduct.

Failure to adhere to payment terms.

Academic dishonesty. Upon termination, access to all digital study portals and physical materials will cease immediately.

11. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Texas. Any disputes shall be settled in the jurisdiction of Harris or Fort Bend County, Texas.
